Roundhouse Preservation, Inc. Minutes of the May 4, 2009 Meeting.
The May 4, 2009 meeting of the Board of Directors of Roundhouse Preservation, Inc. (RPI) was called to order by President Linda Orrell with the following directors present: Becky Osterwald, Kate Piskorski and Roxie Devers. Also present was Kay. Christie and John LaBorde.
The minutes of the April 6, 2009 meeting were read and approved.
Since Dee Ann was unable to attend the meeting, Roxie gave the Treasurer’s report. The balance in the checking account is $4,617.30 and the money market $64,167.20, which included a deposit of $25,000 from Gates. She has a $10 check from Keith Cook and Kate said she has $25 from Jackie Owens for her dues. Roxie added that bills paid were $5,400 to Martin/Martin Engineers and those to the newspapers for the thank you after the fish fry. Kate mentioned that the Eastern Colorado Bank pays higher rates of return of funds. While everyone agreed this is something to consider, at this time it would be too difficult for the Treasurer to get deposits to the bank.
Roxie reported that we received a letter from CDOT, as well as two letters of Nan Rickey’s concerning the roundhouse and a draft of the construction plans. Due to Section 106 requirements, CDOT is requesting comments concerning the work to be done on the roundhouse and if RPI has any issues to respond within 30 days. However, CDOT historian Jennifer Wahlers informed her that if everyone who received a letter responds immediately then the process will be shortened. As a result, Roxie had prepared a letter for Linda to sign. Roxie also added that on May 11th CDOT will have their Final Inspection Review on the roundhouse project. Dave Wittman and Nan Rickey plan on attending.
John asked why there wasn’t any information concerning the 100th anniversary celebration on RPI’s website. After discussion, everyone remembered that the Centennial Committee needed to update the schedule for that day and this was done after our last meeting. Roxie said she would write something up and get the link to the Hugo site on ours. Kay. reported that Cory Gardner was coming for the day, but didn’t know if he had gotten the governor to sign a proclamation on the roundhouse. Roxie will email him about this. John also suggested that RPI’s meeting dates and events be posted on the website.
Kate reported that Coors and Coke had donated banners for the Centennial Celebration.
The members then discussed the fundraisers for the 100th Anniversary. Kate made a motion to charge $12 for the engineer caps. Becky seconded and the motion carried. Roxie said she is working with Becky Thompson on the revisions to the cups, but she hasn’t gotten a sample one done yet. Linda reported she has the cards and postcards in Main Street Mamas. She charges $2.50 for a card with envelope, $1.65 for a postcard and $1.25 for the single card.
On May 16th, Kate will provide the table and Roxie the chairs for our location in the park. They will start setting up at 9:30. Dee Ann will be contacted about the signs she has for RPI and the cost of our products.
Madonna Noah had donated a quilt to RPI for a fundraiser. It was decided to start selling tickets on May 16th, if possible, and having the drawing on Saturday of the fair at 1:30. The cost will be $1.00/ticket or six for $5.00. Linda will talk to Ben about printing the tickets since Dee Ann is out of town.
The Directors then discussed setting up a booth at Limon Railroad Days on June 6th and 7th. Kay. reported that on the 7th from 2:00 to 4:00 will be the grand reopening of the Limon Depot. Sales were not good last year at this event, but it was agreed to try it one more year and set up Saturday from 9:00 to 4:00.
Linda brought up the possibility of having day excursion train rides. Becky said she has mentioned this to the Rocky Mountain Railroad Club already, but will discuss it with them again. This issue will be discussed further at the next meeting.
Roxie reported that Jim Jones, a Colorado railroad book author and videographer, had emailed Kate concerning a DVD he is putting together and offering to promote our efforts on the roundhouse. We could purchase the DVDs for $10, then resell them, or send people his way and he would send us $10 for each DVD sold. This will be discussed further at the next meeting.
Kate reported that she placed a classified in the Sharon Springs, KS newspaper requesting information and pictures on the railroad and about the 100th Anniversary. Also, a lady in Missouri had emailed her about a figurine with a black boy eating a watermelon, with the date of March 2, 1909 and the word Hugo. Linda asked Lian Emmerling to get on eBay and check it out. Linda then purchased it for $22.50, but it hasn’t arrived yet.
The next Board of Directors meeting will be June 1, 2009 at 5:30 p.m. at the VFW.
With no further business to come before the Board of Directors, the meeting was adjourned.
