Roundhouse Preservation, Inc. Minutes of the Sep. 14, 2009 Meeting.
The September 14, 2009 meeting of the Board of Directors of Roundhouse Preservation, Inc. (RPI) was called to order by President Linda Orrell with the following directors present: Kate Piskorski, Becky Osterwald and Roxie Devers. Also present was Carroll Schroeder and Kay. Christie.
The minutes of the August 3, 2009 meeting were read and approved.
Linda gave the Treasurer’s report in Dee Ann’s absence. We have a balance of $2,892.23 in the checking account and $50,880.79 in the money market. Activity in the money market included a $90.65 deposit and a bill of $3,435 paid to Martin/Martin Engineers.
Roxie gave an update on rebuilding the roof on the roundhouse. The bids will be opened on September 17th at the Commissioners meeting. After that, the project budget and certain CDOT forms are submitted to CDOT who will then give a concurrence of award. Several contractors have been out to visit the roundhouse since the walk through.
Roxie then reported on applying for a State Historical Fund (SHF) grant for the doors and windows. She had talked to staff at the SHF about an application from RPI being looked upon favorably since we currently have two grants. Since there appeared to be no problem, Joel Sydlow with Spectrum General Contractors met with her after the walk through to discuss providing an estimate. Roxie asked Becky if she would ask Jim Ozmont with the Colorado Railroad Museum to provide a letter of support, which she will do.
Under fundraising activities, Kate reported that $522 was raised from sales at the fair, less the amount we owe Becky for her books. She will get a bill to us. Prices were dropped on the t-shirts and sweatshirts to sell as much inventory as possible and Sherry Kirby was signed up as a new member. Since homecoming is this weekend, Kate offered to take items to the fairgrounds at lunch to sell. Everyone agreed to this.
Linda provided information from Dee Ann concerning Smencils, since our inventory is getting low. We can get a case for $275, which is 10 buckets of 50 each, or buy by the flavor, with peppermint being the most popular. Dee Ann also had information on Pen 4 Me which are scented and cost $259/case. A case includes 24 bags of 12 pens, which could be sold for $2.00 each. Two 12-count bags of 24 pens can be purchased for $35. After reviewing the information, Kate made a motion to buy a case of the Pen 4 Me. Becky seconded and the motion carried.
The Directors then finalized plans for serving Sara Reid’s wedding rehearsal dinner on October 2nd. Carroll agreed to provide the beans, coleslaw and the baron of beef. Kay will bring 2 pans of brownies and Roxie one. She will also bring the mac and cheese. Kate will bring the lemonade and the ice cream. Becky gave Linda $20 to help purchase the brownie toppings, the chicken tenders and any last minute items. Those who are helping will be at the fairgrounds building at 5:30. Roxie was asked to find out if we have to set up the tables, provide rolls and napkins, and if it’s ok to serve the meal buffet style.
Kate suggested that RPI pay Madonna Noah’s dues for 1 year or honor her in some way since she made the quilt we raffled, as well other items, and has donated food. Becky made a motion that Madonna Noah be made an honorary lifetime member of RPI. Kate seconded and the motion carried unanimously.
Linda then read a letter from Dee Ann giving her resignation from RPI effective December 31, 2009. Various reasons were cited for her decision. Becky made a motion to ask that Dee Ann continue on the Board of Directors through the annual meeting. Kate seconded. Discussion followed, then Becky withdrew her motion and Kate her second. Taking action on the letter of resignation was tabled until the next meeting.
Becky then suggested that RPI have a Publicity Committee and made a motion so stating. Kate seconded and the motion carried. Becky will chair the committee and Kay. will serve on it as well.
The next Board of Directors meeting will be October 19, 2009 at 5:30 p.m. at the VFW.
With no further business to come before the Board of Directors, the meeting was adjourned.
